    We have an amazing role for an Administration Manager who will :

    Manage and support the site administration teams ensuring the effective delivery of accurate weekly and monthly reports across all sites including consolidated reports to Commercial Manager for all projects within your area.

    To resource and train admin staff and implement improved procedures and ensure quality and timely delivery of records

    To work closely and communicate with internal departments including Plant, Payroll, Buying, QA, Environmental, HR and Accounts and develop improved co-operation.

    Main Responsibilites :

    Manage the site administration teams, ensuring the effective and efficient delivery of weekly and monthly records across all sites.

    Working with Timekeepers, Plant Managers, Site Administrators and QS?s, internal and external clients to deliver accurate and timely project reports.

    Oversee the implementation of accurate and timely labour timeclock / timesheet systems consistently across all sites, ensuring that Payroll receive these records from each site, in time.

    To forward adequate records for both costs and cost allocation to the Quantity Surveyors.

    Manage the weekly and monthly plant reports, making sure each site consistently maintains quality records of plant, ordered, delivered and off hired and communicates this to QS?

    s, as well as the Accounts and Plant department.

    Manage the process of recording material deliveries, in accordance with the new COINS GRN procedure, ensuring adequate records are maintained and archived as required, invoices authorised correctly and efficiently and assist in resolving disputes and queries in a timely manner.

    This will include ensuring the collecting and delivery of delivery tickets to the regional office on sites with inadequate connectivity for inputting onto COINS.

    Regularly audit the performance of site administration teams using KPI?s to underpin accuracy of reporting and ensure procedural compliance and alignment with the company way and good business practice.

    Manage site administration resources and training to support the teams and deliver the standards required.

    Work closely with QA department to integrate existing QA standard procedures into the site administration functions ensuring minimum duplication of effort and adoption of single source information systems for all key elements including Concrete, Muck Away, Waste Management, Reinforcement and Imported Fill.

    Oversee the provision of weekly resource and monthly KPI reports on each project, ensuring reports are delivered consistently and to required standard.

    Liaise with Commercial team to ensure reports are in line with agreed standards and protocols.

    Provide consolidated weekly and monthly reports of all collated records and report any deficiencies to Commercial & Site Teams.

    Where applicable assist with the Provision of predicted costs for each project, including advising on accruals and reserves to allow the Commercial team to provide accurate monthly CVR?

    s and updated project outcomes.

    Work with other internal departments, Commercial Managers and Commercial Director to propose, develop and implement continued improvements to all commercial administration systems and their interface with Accounts, QA, Environmental etc.
