Reporting to the Galapagos Operations Manager together with the Ecuador finance team in Quito, the

Admin and Operations Support Coordinator is accountable to perform operational and financial overseeing

and support, reports and statistics for the Estrella boat operation in Galapagos and other vessels as

required. The person is in charge of ensuring excellent experience on board the vessel while providing

accurate budgeting and reporting in accounting systems.


  • Contribute to G Adventures performance on board the Estrella by displaying a positive enthusiastic attitude and showing support and involvement in Team initiatives and activities.
  • Monitor travelers evaluation on a daily basis and receive CEO Feedback. Give feedback to the Operations Manager on how we can improve the customer experience on board the vessel.
  • Develop and maintain strong client relationships through proactive account management.
  • Consistently deliver excellent customer service to all internal and external customers.
  • Oversee the hotel and services improvement and maintenance process on board ensuring constant upgrades are made to improve the passenger experience onboard -
  • refer to CEO, crew and passenger reports of issues.

  • Oversee housekeeping staff, ensuring they are reporting any cabin failures and issues onboard. Ensure housekeeping have the proper outline of what must be done onboard in each cabin -
  • developing checklist process for each cabin ensuring consistent quality.

  • Ensure cooks, bartenders and servers are providing exceptional service onboard as it relates to dietary needs. Ensure that menu options are suited to passenger requirements and that presentation, variety and quantity needs are being met and that we constantly evaluate wastage.
  • Food provided should have clear descriptions with labels to ensure that any allergy issues are avoided.

  • Supervise the purchasing and requests of bar items, ensuring that vessels are fully stocked at all times. Review bar sales each week, report and deposit revenue from bar on a weekly basis.
  • Communicate significant issues / control weaknesses and their resolutions to management
  • Develop relationships with relevant contacts as it relates to cabin maintenance - carpenters, linen providers, laundry, painting, décor.
  • Must be able to come up with creative solutions to fix cabin related issues quickly each week while respecting the maintenance budgets

  • Supervise the process and check the inventory of supplies arriving to vessels based on what is requested weekly. Ensure what is being requested is needed, and look for opportunities to reduce quantities and find efficiencies to reduce costs.
  • Implement a process with controls to review and supply hotel items such as linens, towels, blankets, pillows, crew uniforms to ensure we are maintaining a consistent and presentable image of quality to our passengers at all times.
  • General knowledge of technical boat operations, roles onboard and relevant contracts and vendors (mechanics, engineers, technicians etc).
  • Be able to provide support to the Vessel Operations Manager.

  • Ensure the G Adventures brand is properly executed and report needs to Operations Manager
  • Similar duties for other vessels as required by Operation Manager
  • Act as the primary contact for COGS vendors.
  • Compute and disburses expenses for general payable and vendor payables.
  • Records transactions and retains all accounting records. Posts, verifies, and reconciles accounts payable.
  • Maintains A / P sub ledger (including aging and tracking the payables).
  • Ensures that the invoices are correctly recorded and accounted for under the proper general ledger accounts.
  • Verifies and posts accounts payable transactions to journals, ledgers, and other records.
  • Follows established procedures for processing disbursements through cheques or bank wire transfers.
  • Ensure correct processes are followed to minimize risk and reduce error rates.
  • Understand and identify with G Adventures Core values.
  • Be an ambassador of the G Adventures company culture.
  • Requirements

  • 2+ years experience in Galapagos Tourism Industry.
  • 2+ years working in financial / management areas.
  • Basic understanding of accounting principles.
  • Intermediate English language skills both written and oral.
  • Intermediate knowledge of word and excel.
  • Superior attention to detail, organization and coordination in a team environment.
  • Ability to work independently with initiative and the confidence to make decisions.
  • Ability to identify errors and inefficiencies in the work process.
  • Ability to adapt to an environment that is subject to constant change with a positive and team-orientated outlook.
  • Advanced organizational, time management and problem solving skills.
  • Driven and motivated by a fast-paced environment and have a willingness to learn and be challenged by continual professional development.
