Operations and Flight Reservations Coordinator

Reporting to the Operations Supervisor in Ecuador, the Operations and Flight Reservations Coordinator is accountable for all reservations in Ecuador, Colombia and Galapagos and the accurate reporting in SMART system.
He / she supports and innovates the reservation system, its information, its distribution, and also ensures all content to be accurate, punctual, systematized, organized, and sharp.
The Operations and Flight Reservations Coordinator is responsible for arranging all traveller and group accommodation and also making sure all air issuing is covered for his / her designated to ensure a smooth and proper flow of information for the traveller from the time of arrival until departure.
Book reservations for all groups.
Keep constant communication with the Operations Supervisor regarding any issue with reservations.
Answer any last minute request within 1 working day.
Monitor all reservation process, to ensure to send on time all information required for operators .
Communicate and question any changes in budget irregularities.
Reserve extra night hotels and assist with last minute changes.
Arrange reservations for all hotel and transport providers in Ecuador.
Work together with Accounts Payable to explain changes, errors in invoices from providers.
Work with Ecuador Operations team, hotel providers and Accounts Payable team to ensure proper reporting from each of our vendors.
Assists in day-to-day operations as requested.
To validate all codes assigned to the role.
To make weekly schedule report for the operation (Biblia).
To be part of the emergency phone rotation system.
Administer aspects of required air reservations, modifications, refunds and cancellations in a timely and efficient manner.
Communicate all significant details to the Reservations team, CEO’s and other relevant stakeholders in preparation for the trip.
Ensure the correct documentation is received by the appropriate individuals; following up as required to ascertain confirmations.
Maintain a high level of service when dealing with airlines over the phone or emails, ensuring issues are communicated and escalated where appropriate.
Answer questions from the team / suppliers / internal departments relating to booking and processing of CEOs flights in a timely manner.
Assist in the blocking process by communicating with head office, the airlines and the appropriate stakeholders.
Provide general air support related to rates, systems (GDS), processes and procedures.
Maintain constant communication with Flight Reservation team lead and members for any issues regarding reservations, systems, or procedures.
Other duties as assigned by Operations and Flight Reservations team lead
2+ years experience working in reservations
Knowledge to manage Amadeus flight reservations system
Intermediate English language skills
Intermediate knowledge of word and excel
Strong attention to detail
